The growth of technology has spearheaded the use of advanced systems within the smallest business organisation to the largest multi-national operators to better sharpen their workforce operations as well as keeping the productivity of the organisation to the optimum. In the past decade, the rise of cloud computing concepts and practices have seen medium scale business organisations switching to the HRIS driven methodology to manage their workforce better than ever. Investing on a HRIS comes with changes, if not drastic changes which can account to the good of the organisation as well as have some adverse effect directly or indirectly.
Each and every software vendor who markets a HRIS emphasises on how well their system promises and effective, cost friendly, easy to use software system which may deliver these promised deliverables, and some may not. Nevertheless the company who purchases this system will have to face a large portion of cost in terms of finance and behaviour itself. So before the organisation wishes to change to this new system, it must consider a few good reasons as to what may come to change and what must be thought ahead before bringing in this new change to the system:
Scalability of the solution
With the rapid changes of an industry due to economic forces or technological innovation, the business must be ready to ensure proper scalability of how the software will adapt to the changes around it, and how easily it becomes customisable for additional requirements to be met along the way.
Deciding a pricing structure
Software vendors price their HRIS in various ways, mainly according to the number of users or time frame they may use the software for. A company wishing to buy a HRIS must consider what would their best pricing strategy they can go for.
Compatibility
This is a factor which will be determined both by hardware and software. In order to implement the new system, a careful check must be done to ensure if their current hardware or software supports the new system or if they need to add any new components.
Policy on maintenance and upgrades
The client organisation should be aware if the HRIS provider is capable of providing quick and easy maintenance support and make upgrades available as they are released. If on-site service and support features come, it comes with a higher price of course, but becomes very helpful, should the system encounter any unwanted problem.
References
It is a good chance if the client organisation can obtain a few references about how the system would help them from the experiences of another customer of the HRIS. This will allow them to see which functions are the most helpful, what to expect from the system and even get an idea of the customer service provided.
With all these considerations taken into account, a company can come to a firm decision on whether to buy the HRIS or analyse their current statistics and choose to improve them before moving ahead. However, any decision taken must be taken considering the welfare of the employees to adapt to the new system or continue using the old one.
